Medical Excuses and Withdrawals
Medical Excuses from Class:
The ASU Student Health Service Clinic, per ASU Policy, does not write medical excuses for students who miss class. This is based on both the Faculty Handbook 2012 and the Undergraduate Bulletin for 2012.
If a professor insists on proof that a student was seen at the Student Health Service on a particular date, he/she may call the Health Service at (828) 262-3100. The Health Service will then verify that the student was seen, but the nature of the student’s illness or problem will not be divulged unless the student has signed the appropriate release of information.
Medical withdrawal refers to the process resulting in a student terminating his/her enrollment in all classes during a semester or summer term because of medical reasons and may be requested after the nine-week free drop period. Medical withdrawals must be issued before the end of the semester prior to final exams and final issuance of grades. If approved by the University, all courses are assigned a grade of withdrawal.
The student requesting a medical withdrawal must be followed by a health care provider at the Health Service or at home for the duration of his/her illness or injury. If the patient has been followed by his/her home health care provider, he/she will need a letter from that provider indicating the diagnosis and length of time of the illness. This letter must also indicate that the physician feels a medical withdrawal is appropriate. This letter is sent to Dr. Robert Ellison, Director of Student Health Service at ASU. The student must then contact Student Health Service and request an appointment for a medical withdrawal. If deemed appropriate by the health care provider at the Student Health Service, a letter will be issued to the student to take to the Registrar’s office.
Withdrawals for problems of a psychological nature (i.e. depression, anxiety, panic attacks, eating disorders, etc.) are handled by the ASU Counseling Center. These requests should be addressed to Dr. Chris Hogan in the Counseling Center (828) 262-3180.
Considerations when obtaining a medical withdrawal include:
- If a student cannot produce sufficient proof that he/she has been ill for a significant part of the semester, medical withdrawal will be unlikely.
- If a student obtains a medical withdrawal, registration for the next semester cannot be completed until sufficient proof has been provided to the Student Health Service that he/she is healthy enough to return to school. At this time, a letter will be written for the student to take to the Registrar for reinstatement.
- The Health Service has no authority to determine reimbursement of fees. This issue should be discussed with the registrar prior to the withdrawal.
- Medical withdrawal may affect the student's housing status. Therefore the student will need to contact the Housing Office as soon as possible to determine what effect withdrawal will have on him/her.
- A medical withdrawal may affect a student’s health insurance coverage. This is determined by the individual’s insurance company. The Health Service has no authority in this matter.

Request for Class Load Reduction
A class load reduction is requested when a student for medical reasons cannot take the class hours for which he/she originally registered. This request must be made before the end of a semester before final exams are given.
A student must be followed by a health care provider at ASU or by a health care provider elsewhere. If the student has been followed elsewhere, he/she will need a letter from his/her health care provider stating that a reduction in class load is necessary and why. The student must then contact Student Health Service and request an appointment for a class load reduction. If deemed appropriate, a health care provider at the Student Health Service will issue a letter that the student must take to the Registrar’s office.
Considerations when obtaining a class load reduction are:
- If sufficient proof is not provided that the student has medical reasons for class load reduction, the request will be denied.
- It may affect financial aid, so the Financial Aid Office should be contacted before the class load reduction occurs.
- The Health Service has no authority to determine reimbursement of fees. This issue must be discussed with the Registrar prior to the class load reduction request.
- A reduction in class load can affect health insurance status for a student. This is determined by the individual’s insurance company. The Health Service has no authority in this matter.
